ATO Tax Invoice Requirements — How to Create a Valid Australian Tax Invoice Checklist

If your small business, freelance practice, or sole trader operation is registered for GST (Goods and Services Tax) in Australia, issuing a legally valid document is mandatory.

Under ATO tax invoice requirements, every GST-registered business must meet the rules for tax invoice GST disclosure on each sale. Use this checklist with our free ATO invoice template fields to make sure your paperwork stays compliant. The Australian Taxation Office (ATO) enforces distinct requirements depending on the cash value of the transaction.

The golden rule: invoice vs. tax invoice

  • If you are registered for GST: You must feature the words “Tax Invoice” prominently at the top of your document. You must charge the standard 10% GST on taxable business items.
  • If you are not registered for GST: Your document must display the word “Invoice”. Do not use the word “Tax”, and do not include any GST lines or calculations.

Our free online invoice generator automatically switches the document header between “Invoice” and “Tax Invoice” when you enter a GST rate greater than zero.

Checklist 1: Sales under $1,000 AUD (but over $82.50)

For general commercial transactions valued between $82.50 and $999.99 inclusive of GST, the ATO mandates exactly seven points of data to make the invoice a valid legal instrument:

  1. Clear title: Must state “Tax Invoice” at the top.
  2. Identity of seller: Your official registered legal entity name or trading name.
  3. Australian Business Number (ABN): Your valid 11-digit business registration identifier.
  4. Date of issue: The calendar date the invoice was built and sent.
  5. Line-item descriptions: A clear, concise breakdown of the goods, services, or hourly tasks provided.
  6. The GST component: Show the total GST itemised separately for each item, or clearly write “Total price includes GST” if all items are fully taxable.
  7. Total price due: The total final balance, including the complete tax calculations.

Sales under $82.50 including GST do not legally require a formal tax invoice under standard tax guidelines, but providing a regular invoice is best practice.

Checklist 2: High-value sales of $1,000 AUD or more

When invoicing corporate clients or larger accounts for sums at or above $1,000, the verification rules tighten. You must display all seven steps listed above, plus two additional details:

  1. Buyer’s corporate identity: You must formally display the client’s official trading name or legal entity name.
  2. Buyer’s contact or business identifier: You must display either the client’s business address or their own ABN.
